MAIN DUTIES AND RESPONSIBILITIES: • To lead and guide the employees in accounts – 2 to perform their assigned duties effectively and efficiently • To establish the hotel’s inventory items and the maximum stock levels to be carried in the various categories of stores • To study the hotel’s Procurement Policy and ensure that all procurement is done in line with the procedures spelt out in the policy document • To assist the Finance Manager to optimize the utilization of the integrated financial accounting systems of the Hotel (ACCPAC, MICROS, MATERIAL CONTROL) and to provide training to the finance staff periodically • To assist the finance manager in planning and budgeting for the production and effective costing of the hotel’s Food and Beverage sales. Also effectively monitor and control stocks and sales at various cost centers. • Regular updating of hotel’s assets register • To ensure that KPIs are met completely and on time • Any other related duties that may be assigned from time to time SPECIFIC DUTIES: A – ADMINISTRATION • Lead and guide accounts - 2 team to execute their daily tasks effectively and efficiently • Assign responsibilities to team members and ensure that they achieve the stated targets on time • Represent the team on the procurement committee B - COST CONTROL Ensure the below procedures are followed: • Daily, weekly, and monthly inventory all bar and kitchen stocks • Collect the consumption sheet, Captain’s order and duplicate cheques (MICROS) from each outlet • Submit the daily flash food and beverage report • Food and beverage menus costing and pricing • Ensure effective control mechanisms in the food and beverage service delivery chain • Report any discrepancies when comparing sales and inventory • Ensure FIFO is being respected in all the outlets C - PROCUREMENT Ensure the below procedures are followed: • Prepare purchase orders through Material Control based on the set re-order level • Solicit for proforma invoices or quotation from approved suppliers to support all purchases • Ensure to create vendor account or records of MC, and ACCPAC • To provide track records of all purchases and ensure same has been delivered • Request for price list from non-approved supplier, then process for approval through MC • Print the LPO and have it signed by Finance Manager, General Manager and Chief Executive Officer for final verification • Keep a valid approved supplier register. D - RECEIVING Ensure the below procedures are followed: • Make sure that the following documents are available when receiving goods; signed LPO and copy of the invoice from the supplier • Check all deliveries correspond to the amount ordered on the LPO • Check the quality of the goods being delivery and as well as the expiry dates • Send the delivered items to the respective stores • Prepare the Goods Received Note through MC and book the corresponding amount delivered to their respective store • If the goods delivered are being transferred directly to the departments, book them to the respective cost center in MC • Cancel any items not delivered on the LPO • Hand over a copy of the signed LPO, signed invoices and Goods Received Note to the account’s payables E – INVENTORY MANAGEMENT (STORES) Ensure the below procedures are followed: • Receive deliveries from the receiving officer • Ensure that all stocks are kept in the appropriate store category • Ensure FIFO is being respected in all items • Record them on their respective tally cards • Follow the issuing weekly calendar • Make sure that all issue request from the various department are signed by the department Head, Cost Controller, Finance Manager and General Manager accordingly • Issue items based on the issue request and book them immediately on MC. • Deduct the issued items from their respective Tally Card Print the booking request and fill them accordingly
