Answer incoming calls, determine purpose of call and transfer call
take and deliver messages
monitor visitor access
handle customers queries
interact with visiting vendors
provide ongoing customer service support
receive, sort and distribute mail
receive and process deliveries
generate reports and other documents
maintain front desk procedures including contact information, directions and frequently requested company information
Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
Providing real-time scheduling support by booking appointments and preventing conflicts.
Screening phone calls and routing callers to the appropriate party.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Greet and assist visitors.
Maintain polite and professional communication via phone, e-mail, and mail.
Manage workflow by assigning tasks to other administrative employees daily, ensuring that deadlines are met and work is completed correctly
Assist in training staff members and new hires
Implement and monitor programs as directed by management, and see the programs through to completion
Generate memos, emails and reports when appropriate
Maintain office supplies by checking inventory and order items
Respond to questions and requests for information
Answer incoming calls and assume other receptionist duties when needed
Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
Perform other duties as assigned.
