Catering Manager Information
The Project Scope of work – The Camp Manager will oversee the Projects performance to the scope of work as defined with the client. Upon arrival on site this will be set and agreed in writing with the Project Managers supervisor. The Camp manager will be accountable for the Project achieving the specified standards of performance in all areas of the Projects Operations. The projects areas of operation may include, but not limited to:
· Mess & Food Service management
· Town Site management including bars, restaurants, club houses and sports facilities
· Shop Management
· Office Cleaning Services and Procurement Services
· Camp Set Up and Mobilization Services including Remote Camps
· Maintenance Management
· Directors Dining and Party Catering
· Asset Management
§ The Project Revenue and Expense budget will be set and agreed with the Project Manager on arrival at the project. The Project Manager will be responsible for overseeing his budget project to ensure he achieves the scope of work above. The project budget will be monitored through the accounting software in the Project. The Project will be audited periodically, and the Project Manager must ensure that full cooperation is extended to these auditors and their information requests. ATS Ghana employees provide assistance with monthly reconciliation’s and auditing assistance.
§ Project Stock Control, Stock Levels, Stock Checking, Stock Variances & Spoilages, and Stock Ordering – the Project Manager will oversee all aspects of the projects stock control function including spot checking stock records for accuracy. Spoilages and Variances have to be accounted. ATS Ghana employees provide assistance with stock and material control, the bulk of the orders are undertaken at group level and supplied to the unit monthly.
§ Project Petty Cash or Bank Expense Accounts – the Project will be issued with an accountable Petty Cash Imprest and/or a local Imprest Bank Account. The Project Manager will oversee the accuracy of this imprest account. The Project Manager will ensure that all expenses have corresponding signed valid receipts and supporting paper work including any necessary valid Tax/VAT receipts for the expenses made. ATS Group employees provide assistance with monthly reconciliation’s and auditing assistance.
§ Project Revenue, Invoicing & Accounts Payable Control – the Project Manager will oversee all the invoices issued by the project, ensuring they confirm to client and ATS requirements and they are raised within a timely manner and are approved by the clients on site. The project manager is also responsible for collecting all payments that are issued and paid on the project site. Strictly all monies collected will be banked into an ATS revenue Bank account or transferred to ATS Head office for banking. ATS Ghana employees provide assistance with monthly reconciliation’s and auditing assistance.
§ Project Health & Safety – the Project Manager will ensure that his project conforms to the ATS and clients Health & Safety & Environmental Policies. This includes ensuring that the ATS project completes all the relevant Project paper work, auditing and employee training as per our company policies. ATS, client or external auditors will audit the Project periodically with the Project Manager. The Project Manager will be issued with a full report of each audit. The audits are not deemed to be tests, but rather health checks on the Project with regards to H&S and the Environmental Issues. The Project Manager must follow up on these audits and ensure the recommendations of the audits are followed through and liaising with the ATS clients as necessary. In subsequent audits references will be made to the previous audit and the Project Manager must ensure he is managing with a dated action plan the previous audit points raised and can provide feedback to the auditors. ATS Employee H&S and Environmental training is operated and supplied by ATS Group employees.
§ Human Resource Management – the project manager will oversee Human Resource Management within his project. He must ensure the project delivers the stated project scope of work, to the agreed budget and develops his Human Resources Management accordingly. ATS has stated Human Resource Policies and Procedures and the Project Manager must build his own management team within this framework. The project Manager must also ensure that local cultural and religious factors are taken into account for Human Resources Management. ATS Group Employees provide Employee training, recruitment, payroll, pay scales, HR policies, legal services and relief employees are provided on a day-to-day basis.
Public Relations – the camp manager is responsible for ATS public relations within the project and this includes the client, client’s employees, client’s superiors, client’s visitors and investors and the families and people living within the project. Also we have to manage our relations with the wider local community surrounding the project and ATS is keen to develop local community projects with farming or similar projects. ATS also maintains a good relationship with its employees and this also needs to be taken into account. Support in all these functions is provided by ATS Group employees.
