Description
A reputable company is looking to employ a Front Desk Officer to manage its front desk by greeting, welcoming, directing and attending to visitors appropriately; notifying company personnel of visitor’s arrival; maintaining security and telecommunications system. Knowledge of social media marketing is an advantage.
Duties
Visitors
- Greets and welcomes visitors appropriately
- Determines visitors needs in a professional manner
- Maintains visitors register
- Directs visitors to correct persons
- Ensures back up when absent from reception desk
Phone Calls
- Answers and addresses incoming phone calls in a timely and polite manner
- Clearly determines the purpose of the call
- Deals with queries and provide correct information
- Forwards calls to appropriate person
- Takes and delivers messages accurately and completely
Secretarial Support
- Prepares correspondence and documents
- Organizes mailings
- Develops brand awareness and online reputation
- Prepares and maintains spreadsheets
- Schedules and follows up on appointments and proposals to clients
- Files documents accurately
- Maintains equipment and reports any malfunctions
- Monitors, controls and orders office supplies
- Sorts and distributes incoming mail
- prepares outgoing mail for pick-up or courier
- organizes courier deliveries
Meetings
- Books meeting room and informs participants
- Sets up meeting room with necessary stationary and equipment
- organizes catering for meeting
Reception Area Maintenance
- Keeps reception area and offices clean and neat
- Maintains and organizes reading material
Security Monitoring
- Monitors people coming and going through the reception doors
- Be aware of and reports suspicious activity
Other Duties
- Performs any other duties that may be assigned by Management from time to time
