Description
The H/E. Coordinator at Surf Ghana Collective has a dual responsibility, involving events development, planning, reports, budgeting, arranging logistics to creating a memorable guest experience. You will coordinate educational programs and workshops while actively contributing to the enhancement and expansion of vibrate services.
Key Responsibilities:
- Client Consultation and Needs Assessment: Meeting with clients to understand their event goals, preferences, and budget requirements.
- Budgeting and Financial Management: Developing and managing event budgets, tracking expenses, and ensuring cost-effectiveness.
- Venue Selection and Management: Researching and recommending suitable venues based on event needs and negotiating contracts.
- Vendor Coordination: Identifying and liaising with various vendors (catering, audio-visual, etc.) to secure necessary services.
- Logistical Planning: Creating detailed event timelines, managing event setup, and coordinating on-site logistics.
- RSVP and Attendee Management: Managing invitations, tracking RSVPs, and communicating event details to attendees.
- On-Site Coordination: Overseeing event setup, managing staff, and ensuring smooth event execution.
- Post-Event Evaluation: Collecting feedback, analyzing event performance, and preparing reports.
- Marketing and Promotion: Assisting with event promotion and marketing efforts, if required.
- Relationship Management: Building and maintaining strong relationships with clients, vendors, and venue staff.
- Guest Services: Managing guest inquiries, providing information, and ensuring a welcoming atmosphere.
- Administrative Tasks: Handling bookings, managing reservations, and maintaining records.
- Operational Support: Assisting with daily operations, including inventory management, supply ordering, and facility maintenance.
- Team Collaboration: Working with various teams, such as housekeeping, maintenance, and food and beverage staff.
- Compliance: Ensuring adherence to health and safety regulations and company policies.
- Problem-Solving: Addressing guest concerns and resolving issues effectively.
Required Skills:
- Strong organizational and time management skills: Event coordinators need to juggle multiple tasks, manage deadlines, and prioritize effectively.
- Excellent communication and interpersonal skills: They must be able to communicate clearly with clients, vendors, and team members.
- Problem-solving and decision-making abilities: They need to be able to assess situations, make informed decisions, and adapt plans as needed.
- Flexibility and adaptability: They must be able to handle unexpected challenges and last-minute changes.
- Financial management skills: They need to be able to create and manage event budgets, track expenses, and negotiate contracts.
- Proficiency in event management software: Familiarity with event planning and management tools is often required.
