Purpose of the Role:
To provide professional administrative, secretarial, and advisory support to the Chief's office, ensuring effective coordination of traditional, community, and developmental affairs. The Administrator serves as the central point for communication, records, protocol, and stakeholder engagement relating to the chieftaincy institution. The General/Commercial Manager is responsible for overseeing the overall operational activities of the business.
1. Palace Administration & Secretariat
• Establish and manage the Office of the Chief — including filing systems, correspondence records, and visitor management.
• Maintain accurate minutes of Council meetings, traditional court sittings, and community assemblies.
• Handle incoming and outgoing correspondence (letters, petitions, invitations, etc.) on behalf of the Chief.
• Supervise palace staff (drivers, linguists, attendants, cleaners, etc.) and manage day-to-day logistics.
2. Protocol & Traditional Affairs
• Support the Chief in performing traditional functions, ceremonies, and festivals in accordance with Fante customs and traditions.
Manage protocol for visitors — dignitaries, government officials, investors, and community members.
• Liaise with the Traditional Council, Paramountcy, and House of Chiefs for matters requiring submission or clarification.
• Keep an updated calendar of traditional and cultural events.
3. Governance & Community Relations
• Serve as secretary to the Chief's Advisory Council and ensure follow-up on resolutions.
• Coordinate with local government, churches, youth, and women's groups on development initiatives.
• Maintain a register of family heads, elders, and sub-chiefs under the stool.
• Handle conflict resolution documentation and case tracking for the Chief's traditional court.
4. Development & Partnerships
• Support the Chief in developing and implementing a community development plan (infrastructure, education, sanitation, tourism, etc.).
• Liaise with NGOs, government agencies, and donors for community projects.
• Manage basic financial reporting for palace projects and support fundraising or CSR initiatives.
• Maintain a database of potential partners and stakeholders.
5. Communication & Public Relations
• Draft speeches, communiqués, and public notices for the Chief.
Minimum Qualifications:
• Bachelor's degree or diploma in Public Administration, Traditional Governance, Social Sciences, or Communication.
Required Experience:
Minimum 3–5 years of experience in administration, governance, or community development.
• Familiarity with Fante customs and traditional protocols is essential.
• Excellent communication (Fante and English), interpersonal, and organizational skills.
• Strong ethics, confidentiality, and respect for hierarchy and tradition.
