ADVERTISEMENT FOR ADMIN ASSISTANT
We are seeking a highly motivated, detailed-oriented and service-driven individual to join our
team as Admin Assistant. The successful applicant will be responsible for managing the
library’s resources, services and daily operations to support the information, research and
learning needs of students, faculty and staff.
Key Responsibilities
- Maintain accurate and confidential student academic records in compliance with institutional policies and data protection laws.
- Enter and update student information in the student information system (SIS), including enrollment status, grades, personal details and programme progression.
- Ensure timely and accurate filing (physical or digital) of students’ documents, including admission records, transcripts and graduation certificates.
- Input and verify data related to registration, course enrollment, grades, academic standing and graduation requirements.
- Generate students’ records reports for internal departments, accreditation bodies and government agencies as required.
- Assist with compiling statistics on enrollment, retention and graduation.
- Process requests for academic transcripts, student status letters and other official documents.
- Verify the authenticity of academic records for internal and external stakeholders.
- Support the issuance and distribution of degree certificates and graduation documents.
- Serve as the first point of contact for student record inquiries from students, faculty and staff.
- Provide timely and professional assistance in person, via phone or email regarding academic records and policies.
- Assist students with registration processes, course withdrawal and changes in personal information.
- Ensure all records on management practices comply with institutional policies and legal requirements.
- Participate in audits and implement record-keeping best practices.
- Support the Registrar in reviewing and improving record-keeping systems and workflows.
Qualification and Experience
A minimum of Bachelor’s Degree in Education or equivalent and 2 to 3 years work
experience as an Admin Assistant in a university.
Required Skills
- Knowledge of students information systems (SIS)
- Ability to work independently and as part of a team.
- Strong interpersonal, communication and organizational skills
- Proficient in information retrieval, cataloging standards and metadata schemas.
- Ability to handle confidential academic records
