Job Brief:
We are looking for an HR Manager to lead our HR team. The ideal candidate will take ownership of all HR matters across the company, from recruitment to performance reviews, wage reviews, disciplinary action, and learning and development. We are looking for someone with good leadership and people management skill, good emotional intelligence, and communication. Responsibilities:
Developing and maintaining HR policies and procedures in compliance with the company's standards and national labor law
Represent region company in external committees, working groups, Trade/labor unions, and other related business meetings, to ensure that the needs and interests of the region company and its stakeholders are represented, and relevant information is effectively communicated
Leads company compliance with all existing governmental and labor legal bodies, including the preparation of information, approves all submitted information, and serves as the primary contact with the company attorney and outside government agencies.
Ensures appropriate planning and execution to maximize business facility space utilization and oversee resources and ensures safety and security of buildings and personnel.
Supervise all service contracts including cleaning, safety, security, catering, maintenance, office management etc.
Plan, schedule and oversee on-premise and off premise business events including meetings, conferences, interviews, orientations, and marketing events.
Open, close, and secure facilities at prescribed times and check for safety and maintenance concerns and do regular rounds to all areas within the facility including the workshop
Provide a friendly, inclusive, service-oriented environment for all staff and visitors
In collaboration with Country General Manager and HR BP, assist in the development of staffing and recruitment plan to ensure that each function is staffed appropriately in an efficient and timely manner
Ensure staff hiring is conducted efficiently and in compliance with the company's policies and national labor law.
Ensure a high quality, timely and efficient recruitment process.
Plan and conduct pre-employment assessment and interviews, and support in the scheduling of business interviews as required.
Ensure pre-employment requirements are submitted, personnel files and documentation are kept according to MAG HR policies and regulations.
Determine salaries for selected candidates based on approved salary scales and grading system
Ensure that all staff has undergone orientation and induction at the country office including expat staff.
Support in the processing of visas and work permits for expat staff as and when required.
Compensation and benefits
In close coordination with Finance ensure the timely and efficient payroll preparation and release for accurate payroll.
Ensure all staff attendance dates are correctly maintained and recorded on HR systems as part of the monthly payroll calculations.
Ensure the proper utilization and accurate tracking of all types of leave are recorded and maintained on HR system.
Support the periodic salary review and analysis with MAG HR head office, and implement new salary structure, as appropriate
Employee Relations
Ensure the timely processing of new contracts, contract extensions, staff transfers, promotions and other changes of status/ personnel changes including staff movement action on HR systems.
Manage processes related to disciplinary actions, staff separation, and termination.
Respond to employees’ related queries and provide answers to all HR-related inquiries and requests.
Keep HR Manual, and employee handbook updated and constantly communicated, along with other HR policies to national and expat staff.
Make sure that employees’ files are auditable at all times as per MAG standards and business region governing labor regulations
Support internal and external audits by ensuring necessary employee documents are updated, scanned, and uploaded to HR systems and submitted as needed.
Performance Management System
Leads the development of department staff performance goals and objectives on HR system
Provide training and ensure new hires and current staff complete the training on MAG HR systems and understand the goal-setting process.
Monitor the evaluation process at all stages and ensure that employees and supervisors complete the review process in a timely manner.
Provide guidance to supervisors as they complete evaluations
Assisting supervisors to establish plans for improving performance (PIPs), be present during review meetings when necessary.
Provide ongoing support to MAG performance system users including responding to various inquiries raised by different employees, clarifying the appraisal forms, methodology etc
Training and Development
Organize learning and development opportunities in coordination with the country general manager and direct managers for staff to achieve development goals
Support in the identification and development of national staff potential staff
Provide training, support and advice on staff development plans
Verify that the training budget is effectively cover’s national staff development and talent management needs and follow up to make sure training has been provided and the employee has completed the training successfully.
Encourage Managers to organize training feedback session with their staff focusing on specific operational or technical subjects
Work with the Manager/Supervisor and the employee to find relevant courses on MAG LMS, or find courses locally (provided through an institute or a college) and consult with the HR HO for assistance in identifying learning and development opportunities based on development goals as identified in performance.
On a Quarterly basis, report the names and courses taken outside LMS to the country HR BP and HO development team
