Role and Responsibilities of Operations Manager
A. Compliance Management
Ensuring compliance with relevant statutory and regulatory bodies to maintain smooth business operations.
- Environmental Protection Agency (EPA):
- Oversee compliance for mills and farms at Adidome and Akuse.
- Ghana Fire Service:
- Ensure compliance for mill and office premises.
- Social Security and National Insurance Trust (SSNIT):
- Manage contributions for all workers and staff.
- Food and Drugs Authority (FDA):
- Handle food certification, advertisement approvals, and other FDA-related regulations.
- Ghana Standards Authority (GSA):
- Coordinate the calibration and maintenance of the weighbridge.
- Ghana Immigration Service (GIS):
- Apply for and renew work permits for expatriates.
- National Identification Authority (NIA):
- Process Non-Citizen National Identification cards for expatriates.
B. Liaison with Government Agencies
Maintain effective relationships with key government ministries and agencies.
- Ministry of Food and Agriculture (MOFA).
- Ministry of Trade and Industry (MOTI).
- Ministry of Finance (MOF).
- Ghana Revenue Authority (Customs Division).
- Embassies (for visa and travel arrangements).
C. Sales Support, Trade Fairs, and Exhibitions
Facilitate participation in trade events and exhibitions by collaborating with relevant organizations.
- Liaise with MOFA, MOFRI, MOTI, GRA, AGI, GIPC, AfCFTA, and media houses.
- Coordinate promotional activities, including participation in trade fairs and events.
D. Container Clearing
- Work with clearing agents for the timely clearance and delivery of containers or goods to farms or warehouses.
E. Advertising and Promotions
- Collaborate with advertising agencies to identify billboard locations and manage promotional campaigns.
- Ensure effective execution of marketing strategies through various channels.
F. Logistics and Transport Coordination
Ensure smooth transportation and logistics support for operational activities.
- Farm: Arrange transport for fertilizers and other farm items as needed.
- Sales: Facilitate transport for moving rice and other products between farms, warehouses, and markets.
- Warehouse: Source transport for product deliveries within and outside Accra.
G. Procurement Management
Oversee procurement to ensure cost-effective acquisition of high-quality materials.
- Collect and compare quotations from vendors to make the best purchasing decisions.
- Source materials for operational needs from various departments:
- Farm: Fertilizers, equipment parts, and other operational materials.
- Mill: Milling machine parts, packaging equipment, and other required materials.
- Main Office: Office supplies, vehicle parts, and household materials.
H. Initiatives for Enhanced Efficiency
- Database Development:
Maintain a comprehensive database of government compliance agencies with details such as:
- Start and expiration dates of permits/certificates.
- Relevant fees (in USD) for compliance activities.
- Contact details and relationships with agency representatives.
- Notes for outstanding tasks or pending approvals.
- Develop a database of transporters, including rates for tons and kilograms for easy reference.
- Early Warning System:
Implement a notification system to alert two months prior to the expiration of permits, certificates, or contracts.
- Operational Tracking:
- Develop a working plan for tracking departmental requests and procurement activities.
- Monitor timelines and ensure timely execution of all operational tasks.
- Oversee and manage all ancillary administrative tasks to ensure seamless support for the organization’s operational and strategic objectives.
- Handle all operational tasks as assigned by management from time to time.
