Job Summary
The Front Desk Officer serves as the first point of contact for clients, visitors, and staff, representing the company’s image and professionalism. The role involves managing front office operations, handling inquiries, coordinating communication, and providing administrative support.
In a private security company, the Front Desk Officer also supports operational coordination by managing incident reports, directing client requests, and ensuring efficient communication between clients and internal teams.
Key Responsibilities
- Receive and welcome visitors in a professional and courteous manner.
- Manage incoming calls, emails, and inquiries, and direct them appropriately.
- Maintain a visitor log and ensure proper access control procedures are followed.
- Handle client inquiries and escalate issues to the appropriate department.
- Receive, record, and forward incident reports or operational updates to relevant teams.
- Manage incoming and outgoing correspondence (mail, documents, parcels).
- Maintain a clean, organized, and presentable front office environment.
- Schedule appointments and coordinate meetings as required.
- Provide administrative support to HR, Operations, and Management teams.
- Ensure confidentiality of sensitive information and company records.
- Assist in maintaining office supplies and inventory for front office operations.
